Portfolio Project 2: Engaging Stakeholders
Project Title: Digitizing Care Practitioner Training: Streamlining Assessment and Enhancing Learning for a UK Social Care Provider
Client: A Leading Social Care Provider in the UK
Challenge:
This UK-based social care provider had developed a comprehensive training program for their new "Care Practitioner" role. The program aimed to upskill care workers with clinical knowledge, enabling them to take on tasks typically performed by nurses. However, the program, which consisted of 17 modules with annual assessments, relied heavily on paper-based resources. This created several challenges:
- Inefficient Assessment Process: Completing, distributing, and grading paper-based assessments was time-consuming and resource-intensive.
- Lack of Centralized Tracking: Tracking learner progress and assessment results was difficult and prone to errors.
- Limited Accessibility: The paper-based format limited accessibility for learners and made it difficult to update and revise content.
The provider needed a digital solution to streamline the assessment process, improve efficiency, and enhance the overall learning experience.
Solution:
We partnered with the social care provider to digitize their Care Practitioner program, focusing on creating a streamlined and efficient assessment process. Our approach, guided by Cathy Moore's Action Mapping, ensured that the digital solution directly addressed the provider's needs and desired outcomes.
Here's how we did it:
- Business Goal: The primary business goal was to improve the efficiency and effectiveness of the Care Practitioner training program by digitizing the assessment process.
- Target Actions: We identified the key actions required from both learners and assessors to successfully complete and evaluate the assessments. This included:
- Learners being able to easily access, complete, and submit assessments online.
- Assessors being able to efficiently receive, review, and grade assessments.
- Action-Oriented Design: We developed a digital solution that enabled:
- Online Assessments: We transformed the 17 paper-based modules into engaging online assessments, accessible through a central platform.
- Automated Document Formatting: We created a system that automatically formatted learner responses into documents suitable for assessor review.
- Streamlined Submission and Grading: We implemented a workflow that automatically sent formatted assessment documents to the appropriate assessors for grading.
- Centralized Tracking: The digital platform provided a centralized location for tracking learner progress, assessment results, and reporting.
Results:
The digitization of the Care Practitioner program delivered significant improvements:
- Increased Efficiency: The online assessment process drastically reduced the time and resources required for assessment completion, distribution, and grading.
- Improved Accuracy: Automated formatting and centralized tracking minimized errors and ensured consistency.
- Enhanced Accessibility: Learners could access assessments anytime, anywhere, making the program more flexible and convenient.
- Streamlined Workflow: The automated workflow freed up assessors' time, allowing them to focus on providing valuable feedback.
- Cost Savings: The reduction in paper usage and administrative overhead resulted in significant cost savings for the provider.
